Your TapBook number and texts

Get a TapBook number, text customers from their booking, and what happens when a customer replies STOP.

Texts is where you get a TapBook mobile number and choose whether customers get SMS. The card shows on Settings only while texts are on for your business. Their replies land in your inbox.

Text customers

  1. In TapBook, open Settings.
  2. On Texts, use Text customers. It saves at once.

The help reads: Customers get an SMS when they book, when you confirm, move or cancel, and for the reminders and review requests you've turned on. Off, they get emails only.

On, TapBook says Customers get SMS again. Off, it says Customers get emails only.

Only owners can change this.

Your TapBook number

Each location has its own row under Text customers.

  • No TapBook number yet, with Request a number.
  • Requested, then the date. It can take up to 5 business days.
  • The number, with Ready.

Request a number asks: Request a number for the location? Australian rules ask for your business's legal name and ABN before it gets a mobile number. TapBook sets it up, and it shows here when it's ready.

Legal name starts as the business name. ABN asks for 11 digits, as on the Australian Business Register. Choose Not now or Request number.

TapBook says Number requested for the location. An empty legal name asks you to enter the legal name. An ABN that is not 11 digits asks you to enter an 11-digit ABN like 51 824 753 556. One that fails its check says that ABN isn't right, and to check the digits. A location that already has a number, or one on the way, says so.

Text from a booking

Open the booking. Under the timeline, the reply box has SMS and Private note. SMS is open first.

The chips are Confirmation, Quote follow-up, Reminder, On the way and Review request. A chip fills the box. You can change the words, then choose Send SMS. TapBook says SMS sent.

The box placeholder is Write an SMS to their first name. Under it, the help starts with From and your TapBook number. Reply by SMS on the booking scrolls to this box. It shows only while an SMS can go.

A chip that needs a time shows only when the booking has one. Quote follow-up shows once a quote has gone to them. Review request shows once the location has a Google review link, and not when review requests and follow-ups are off for that customer.

If the box is missing, the tab says why. With no number yet: SMS starts once the location has its TapBook number. Owners then get Request one in Settings. If Text customers is off: SMS to customers is off. Owners can turn it on in Settings. If they replied STOP, it names the date and says TapBook can't text them until they reply START. If texts are paused: SMS is paused for now. Emails still go.

Private note is the other tab. Notes are only for your team. A text you send is not a note: it goes to their phone from the location's TapBook number.

When a customer replies STOP

A reply that is only STOP stops their SMS. Under the mobile, the booking says: No SMS: they replied STOP on that date. The timeline says: No more SMS: their name replied STOP. TapBook can't text them until they reply START. The timeline then says: SMS back on: their name replied START.

STOP also turns off Review requests and follow-ups on their page in Customers. Turning that switch back on does not turn SMS back on. SMS comes back when they reply START.
