What customers receive
The messages TapBook sends your customers for you, when each one goes, and how customers change or cancel a booking.
TapBook emails your customers when they book, when you change a booking, and when you send a quote. They need to have given an email. The message speaks as your business. To change or cancel, they reply to that email or call you. There is no link for them to cancel on their own.
When they book
After they send the form, the screen names what happened. For a time they can choose Add to calendar. If they gave an email, it says: We've emailed a copy to that address. It also says: Need to change something? Call us on your phone.
The subject uses the business name. A confirmed time is You're booked in with the business name. A request is Your booking request with the business name. A quote is Your quote request with the business name. A call-back is the business name, then will call you back. A message is Your message to the business name.
| What they asked for | Title on the screen |
|---|---|
| A time, confirmed straight away | You're booked in |
| A time you still confirm | Request sent |
| A quote | Quote request sent |
| A call-back | Call-back requested |
| A message | Message sent |
Whether a time is confirmed straight away is Confirm bookings straight away: see When customers can book.
The email's heading matches the screen for a confirmed booking: You're booked in. A request's heading is We've got your request. A quote's is We've got your quote request. A call-back's is We'll call you back. A message's is We've got your message.
An email with a time has Add to calendar, your On arrival note when you set one, and the links Directions, Call and Text. It ends: Need to change something? Reply to this email or call us on your phone. Then: Need another service? Book again.
When you change a booking
Confirm tells them. The subject is You're booked in with the business name, and the heading is You're booked in.
Reschedule opens a window titled Move, then their name's booking. Move booking sends Your booking with the business name has moved, heading Your booking has moved, when the booking is already confirmed. A request that is not confirmed yet sends Your requested time with the business name has changed, heading We've changed your requested time.
Cancel booking on a booking with a time sends Your booking with the business name is cancelled, heading Your booking is cancelled. It ends: To book again, reply to this email or call us on your phone. Cancelling a quote request, call-back or enquiry sends nothing. That window says it leaves your inbox, and they aren't told.
The switch on Reschedule, Book in and Cancel booking starts on. When email is how you can reach them, Reschedule reads Email their name the new time. Book in reads Email their name the booking. Cancel booking reads Email their name that it's cancelled. If they can get neither an SMS nor an email, the window says they can't get an SMS or email from TapBook, so let them know on their mobile.
Send quote lists Send it by. With Email to their address ticked, the subject is Your quote from the business name, the heading is Your quote, and it ends: To go ahead, reply to this email or call us on your phone.
Reminders and review emails
When Reminders are on, a confirmed booking can get Reminder: your booking with the business name is the day and time. The heading is See you today, tomorrow, or the date. The button is Add to calendar. It ends the same way as a booking email: reply or call to change something.
A Google review request has the subject How did we go, then their name, the heading How did we go?, and the button Leave a Google review. Under it: Don't want these? Stop review requests.
A reminder to finish has the subject Finish your booking with the business name, the heading Pick up where you left off, and the button Finish booking. It adds: This is the only reminder we'll send. Then Stop review requests.
Texts as well
With texts on, customers also get an SMS when they book, when you confirm, move or cancel, and for the reminders and review requests you've turned on. Off, they get emails only.
When an SMS can go, the switch on a move, book in or cancel reads Text their name, and adds: They get an email too, when they gave one. Send quote can include SMS to their mobile as well as Email to their address.
A text about a booking asks them to reply there if they need to change it, or to call. A cancellation says: To book again, reply here or call your phone. They still cannot cancel from a link.
