Alerts

Choose how you hear about new bookings and customer replies, and who else hears about them.

Alerts choose how you hear about new bookings and replies when you're away from TapBook. The card is always on Settings. Email for a new booking is on from the start. Only owners can change it.

Where to find them

  1. In TapBook, open Alerts.
  2. Tick what you want, then choose Save alerts. TapBook says Alerts saved.

New bookings and requests

New bookings and requests has Email, ticked to start. Owners always get these emails. The subject is one of:

  • New booking request: the service and the time.
  • New booking: the service and the time, when they were booked in as they sent it.
  • New quote request: the service.
  • New call-back request: their name.
  • New enquiry: their name.

The email says what to do next, lists every answer, and has Call their first name. Owners also get Open this booking in TapBook. It ends: You get this email as an owner of the business. Someone you add gets: You get this email because the business added you in Alerts.

Replies from customers

Replies from customers has Email, ticked to start. It goes for the first unread reply, so a conversation does not fill your inbox.

A text reply has the subject and heading of their name, then replied by SMS. A message from your website has their name, then sent a message from your website. The button is Open in TapBook. Under it: Reply from TapBook, so it comes from your TapBook number.

Also email

Also email adds more addresses, such as the office, separated by commas. The help reads: Owners always get the emails. An address that is not an email asks you to enter emails like office@workshop.com.au. More than five asks you to add up to 5.

SMS alerts

While texts are on, each group also has SMS, unticked to start. That includes New bookings and requests, Replies from customers, and Calls to your phone assistant when that group is on the card.

Mobiles for SMS alerts takes numbers such as 0412 345 678. Separate two with a comma. While no location has a TapBook number yet, the help adds: SMS alerts start once a TapBook number is ready.

Tick SMS only with a mobile filled in. Otherwise TapBook asks you to add a mobile for SMS alerts, or untick SMS. A number that is not a mobile asks you to enter mobiles like 0412 345 678. More than five asks you to add up to 5.

Calls to your phone assistant

While the phone assistant is on, Alerts adds Calls to your phone assistant. The help reads: A summary of every call. Urgent calls say so first. Email starts ticked.

The subject is Urgent call from their name, Call-back wanted: their name, Call from their name, or Missed call from their number. The button is Call their name when there is a number to call. Owners also get Open in TapBook.
