The calendar

See bookings by day, week or month, drag a booking to a new time, add walk-ins and phone bookings, and block out time.

The calendar is every booking that has a time, by day, week or month, in the location's time. Open Calendar. Opening a booking shows the same page as the inbox, and a change here sends the same messages. See Confirm, move and complete bookings.

Move around

The title is Calendar. The line under it is the period and the location's time, such as the week, the day, or the month.

Block time and Add booking sit at the top.

  1. Today jumps to today where the location is.
  2. Previous and Next step a day, a week or a month, matching the view. Their names are Previous week and Next week, or day or month in those views.
  3. Day, Week and Month switch the view. The calendar opens on this week.
  4. With two or more locations, the location list is the locations' names. With two or more team members or bays, the team list starts with Everyone. Status offers Any status, New, Confirmed, Completed, No-show and Cancelled.

The view, the day, the location, the team member and the status stay in the address, so a reload or Back keeps them.

Day, week and month

Day and Week are a time grid, Monday first in the week. Each booking shows its time, its status word, the customer's name and the service. An open urgent booking says Urgent. A cancelled booking stays on the grid, struck through. Two at the same time sit side by side. Select a booking to open it.

Blocked time is a striped block. It shows the reason, or Blocked when there is none. In the Everyone view, one person's block starts with their name. A whole day off sits in a row above the hours: Closed and the reason for the location, or the person's name and off, or their reason. Whole days off are set in Opening hours and closures. With one team member chosen, you see their blocks and the location's.

Month is six weeks, Monday first. Each day opens that day. From a wide screen it shows how many bookings, and how many are new, such as 3 bookings and 1 new. A closed day says Closed. The count leaves out cancelled bookings, unless Status is Cancelled. With another status chosen, it counts that status.

On a phone, Week is a list. Each day is headed with its date, or Today and the date, and that heading opens the day. A day with nothing says Nothing booked.

While the calendar is open, a booking that arrives or changes shows without a reload. Blocked time shows on the next load.

Move a booking

A New or Confirmed booking can be dragged to another time or day. On a phone, press and hold it first. It keeps its length, and the time snaps to 15 minutes. Letting go leaves it where it was and opens Move their booking? with the new Date and Time filled in. Move booking follows the same rules as Reschedule on the booking. A clash names whose booking is in the way and moves nothing. Completed, no-show and cancelled bookings cannot be moved.

Add a booking

Add booking asks Add a booking? You can also open it by selecting empty time, or by dragging across empty time, which fills the start. On a phone, press and hold empty time.

  1. Location, when you have two or more.
  2. Service, then Date and Time. The time's help names the location's time.
  3. Team member, when two or more can do the service. It starts on First free, or on the person you are already viewing.
  4. Name, Mobile and Email (optional).
  5. Note (optional), with the help Only your team sees notes.

The switch reads Email their first name the booking when a text cannot go from the location. It starts on. Not now closes the question. Add booking saves it. The booking is confirmed straight away and its source is Added by staff. The toast says they are booked in for that time, and adds that they'll get an email when an email goes.

Opened from a time on the grid, Block this time instead opens Block time for the same time.

A mobile that is already a customer's adds the booking to them. If the time is taken, the message names whose booking is in the way and says Pick another time.

When a text can go from the location, that switch reads Text their first name the booking. Once an email is typed, the help says They get an email too. The toast then says they'll get an SMS, or an SMS and an email. See Your TapBook number and texts.

Block time

Block time asks Block time?

  1. Set Date, Start and End.
  2. With two or more team members or bays, Who offers Everyone at the location, then each person. It starts on the person you are viewing when one is chosen.
  3. Reason (optional) has the help Only your team sees this.
  4. The line under the fields says: Customers can't book this time. Your team still can.

Not now closes it. Block time saves it. The toast says Time blocked.

Selecting a block asks Remove this block? It shows the day, the times, who and the reason, then Customers can book this time again. Keep it closes it. Remove block removes it. The toast says Block removed. A whole day off is not removed here. For owners it opens Opening hours and closures. For staff it does not open.
