Confirm, move and complete bookings

Everything you can do with a booking: confirm it, send a quote, move it, mark it complete or a no-show, cancel it, and undo.

A booking's page is where you confirm it, move it, finish it or cancel it. Open one from the inbox, from a customer, or from the calendar. The way back reads Inbox or Calendar, and returns you to the same list or the same day.

What the page shows

The title is the customer's name. Under it are the status and, when there is no time, Quote request, Call-back or Enquiry, then where it came from.

Customer shows the mobile, the email when they gave one, and First booking or a count of earlier bookings that opens their page in Customers. If their email has bounced, it says Emails to this address bounced. If review requests and follow-ups are off for them, it says No review requests or follow-ups since the day they were turned off.

Booking lists What, When, Arrived and Source. When is missing for a quote request or an enquiry. A call-back says Call-back requested. After hours shows under Arrived when it was. Team member shows when you have two or more team members or bays. Where shows when you have two or more locations. Once a quote has been sent, the price and the day sit on this card too.

Answers lists each question and the answer, in the order they were asked. Timeline is this booking's events, emails and private notes, oldest first.

Under the timeline, Private note is a box with the help Only your team sees notes. Choose Add note. The toast says Note added. An empty note says Write a note first.

Confirm, move and finish

The buttons depend on what the booking is. There is no extra menu: Mark no-show and Cancel booking sit at the end of the row.

A new booking with a time has Confirm, Reschedule and Cancel booking.

  1. Confirm confirms it at once. The toast says Booking confirmed. It adds that they will get an email when an email goes.
  2. Reschedule asks Move their booking? Set Date and Time. The help under Time names the location's time and says the job keeps its length. Keep the time closes it. Move booking saves it. The toast says Booking moved to the new time. If the team member is busy then and someone else takes it, the toast ends It's now with that person.
  3. Cancel booking asks Cancel their booking? The line says the time frees up for other customers. When an email can go, the switch reads Email their first name that it's cancelled, and it starts on. Keep it closes the question. Cancel booking cancels it. The toast says Booking cancelled. and offers Undo.

A confirmed booking has Reschedule, Mark complete, Mark no-show and Cancel booking. Mark complete needs no question. The toast says Marked complete. and offers Undo. Mark no-show says Marked as a no-show. and offers Undo.

Undo puts the booking back and says Undone. The timeline says Undone, back to the status it had. A cancellation waits 10 seconds before the customer is told, so Undo can stop that message. If someone else has taken the time since, Undo cannot bring it back.

On a completed appointment, Send review link shows when a Google review request can still go to that customer. See Google review requests. The toast says Review link sent. Pressed during quiet hours, it says Review link goes at the time quiet hours end, and the customer card says the same until it goes.

Quotes, call-backs and messages

A new quote request has Send quote, Book in and Cancel request. Once it is Quoted, Book in comes first and Send quote stays, so you can send another price.

Send quote asks Send them a quote? Enter Price. The help says the total, such as 450 or 450.50. Message (optional) is for what's included, or when you could start. Send it by includes Email to their address when an email can go, and it starts ticked. Not now closes it. Send quote sends it. The toast says Quote sent to them. With nothing ticked, it says Quote saved. and that they aren't told. The booking becomes Quoted.

Book in asks Book them in? Choose Service, Date and Time. The time's help names the location's time. The switch reads Email their first name the booking when an email can go and a text cannot, and it starts on. Not now closes it. Book in books them. The toast says they are booked in for that time.

A new call-back or enquiry has Mark done, Book in and Cancel request. Mark done needs no question. The toast says Marked done. and offers Undo.

Cancel request asks Cancel their request? The line says it leaves your inbox and they aren't told. Keep it closes it. Cancel request cancels it. The toast says Request cancelled. and offers Undo.

When neither a text nor an email can go, the switch is replaced by a line that says they can't get an SMS or email from TapBook, so you should let them know on their mobile.

Things to check

If the time is taken, the message names whose booking is in the way and says Pick another time. Moving a booking to the time it already has says That's the time it has now. Pick another time. If the booking changed after you opened it, it says This booking changed since you opened it. Check it and try again.

Reply by SMS shows while an SMS can go to the customer. It moves you to the reply box. That box has two tabs, SMS and Private note. The SMS box's placeholder is Write an SMS to their first name, and the button is Send SMS. The toast says SMS sent. See Your TapBook number and texts.
