The inbox

The inbox is the list of every booking, quote request, call-back and enquiry. Open Inbox. Until the first booking arrives, the page is titled Inbox, the line under it reads New bookings, quotes and call-backs, and the empty state says No bookings yet.

Once a booking has arrived, the line under Inbox says how many are today: 1 booking today., 3 bookings today., or No bookings today. When any are still new, it adds 1 new request. or 2 new requests.

A second line says where this week's bookings came from, or No bookings yet this week. It counts every booking that arrived since Monday, whatever it is now. Each source that sent any is named, the most first, and only the first count says booking or bookings. Google is Google sent. The website form and the website button count together as your website sent. The booking link is your booking link sent. Bookings your team added are your team added.

Calendar opens the calendar. Add booking adds one for someone who rang or walked in. See The calendar.

On an empty inbox, owners also see Invite your team, which opens Settings.

Bookings the phone assistant sent are counted in that weekly line as your phone assistant sent. See The phone assistant.

The inbox opens on New. Each pill shows its count. An open urgent booking shows Urgent and comes first in every pill.

1. New is everything still new: booking requests, quote requests, call-backs and enquiries, newest first.
2. Quotes is quote requests, whether they are New or Quoted.
3. Call-backs is call-backs still new.
4. Today is bookings with a time today, New or Confirmed, in time order. Today is today where that booking's location is.
5. Upcoming is bookings with a time after today, New or Confirmed, in time order.
6. All is every booking, newest first.

Replies is in the row while texts are on. It lists customers whose SMS nobody has read yet, newest reply first. The row shows the customer, their latest reply, and when it arrived. Opening the booking or the customer reads the reply, and the row leaves the pill. See Your TapBook number and texts.

Search sits under the pills, with the placeholder Name or mobile. Press Enter. The list moves to All and shows the matches, newest first. A mobile matches however it is typed, such as 0412 345 678 or 0412345678. Clear search takes the search off.

Filters opens a row of fields, and a change applies at once. While any are on, the button reads Filters with that count in brackets, and Clear filters follows the fields.

1. Status offers Any status, New, Confirmed, Quoted, Completed, Cancelled and No-show.
2. Source offers Any source, Google, Booking link, Website form, Website button, AI call and Added by staff.
3. Location offers Every location, then each location. It shows only when you have two or more locations.
4. From and To are dates. A booking with a time counts on its day. Anything else counts on the day it arrived.

The pill, the search and the filters stay in the address, so a reload or Back keeps them.

The columns are Customer, Service, When, Source and Status. Service is the service on the booking now. When is the time where the location is, or, with no time, what it is and when it arrived, such as a quote request or a call-back. Status is New, Confirmed, Quoted, Completed, Cancelled, No-show or Urgent.

On a wide screen, a row opens a preview beside the list. It shows the phone and email, with Copy phone and Copy email, then Status, Type when it has no time, Appointment when it has one, Received, Service, Extras, Location and the form answers. Open booking goes to the booking. Close the preview with Close preview, or press Esc.

The list shows 50 at a time. Show more loads the next 50. While the inbox is open, a booking that arrives or changes shows in the list without a reload.

An empty pill says so in the list.

• New says: Nothing new. Bookings, quote requests and call-backs land here as they arrive.
• Quotes says: No quote requests waiting.
• Call-backs says: Nobody is waiting for a call-back.
• Today says: No bookings today.
• Upcoming says: No bookings coming up.
• All, with nothing in the business yet, is the No bookings yet empty state. Its line is: Bookings, quote requests and call-backs land here as soon as customers send them.

With a search or filters on and nothing fitting, any pill says: No bookings match. Check the spelling, or clear the filters.

An empty Replies pill says: No unread replies. When a customer texts back, it waits here until someone reads it.
