Customers
Find a customer, see every booking and message with them on one page, and stop follow-ups for one person.
Customers is everyone who has booked with you, on one page each. Open Customers. The title is Customers and the line under it is Everyone who has booked or texted. Until anyone has booked, the page says No customers yet, and: Everyone who books or texts you gets a page here, with each booking and message.
Find a customer
Search has the placeholder Name or mobile. The label Search is hidden. The list is the most recent booking first, 50 at a time. Show more loads the next 50.
Each row is the name, when they last booked, and their latest booking. With a time, that line is the service and the time. With no time, it is the service, then Quote request, Call-back or Enquiry. A row for someone with no booking says No bookings yet.
Clear search takes the search off. A search with no match says: No customers match. Check the spelling.
On a wide screen the list stays on the left, and the title Customers stays above it while a customer is open. With nobody chosen, the rest of the page says: Choose a customer to see their bookings and notes. On a phone, a customer opens as their own page, with Customers above the name to go back. The search stays in the address, so a reload keeps the name or mobile you typed.
A mobile matches with or without spaces. The chosen row is the one you have open. Show more stays under the list until every match is on the page. When they last booked shows as the time, if it was today, or the day, if it was earlier.
Someone who books again with the same mobile lands on the same page. The name and email are the ones from their latest booking. A customer with an open urgent booking shows Urgent.
A customer's page
Under the name are the mobile, the email when they gave one, and Customer since the day they first appeared. If their email has bounced, it says Emails to this address bounced. If review requests and follow-ups are off, it says No review requests or follow-ups since that day.
While reminders are on for the business, a switch under those lines reads Review requests and follow-ups. It starts on. Its help says: Google review requests, and the reminder when a booking isn't finished. Turn it off if they ask not to get them. It saves at once. Turning it off, the toast says they won't get review requests or follow-ups. Turning it back on, the toast says they can get review requests and follow-ups again. See Reminders and Google review requests.
Bookings is one row each, newest first. The row shows the service, then the time or what the booking is, such as a quote request or a call-back, and the status: New, Confirmed, Quoted, Completed, Cancelled, No-show or Urgent. Each row opens the booking. See Confirm, move and complete bookings. A customer with no bookings says No bookings yet.
Timeline is every booking's events, emails and private notes, oldest first. A note sits on a card headed Only your team sees this. Under the timeline, the note box is labelled Private note, with the help Only your team sees notes.
- Write the note.
- Choose Add note.
- The toast says Note added. The note shows on the timeline at once.
An empty note says Write a note first. A note over 2,000 characters says Use 2,000 characters or fewer.
The same note box is on a booking. A note you add on the customer is on their timeline. A note you add on a booking is on that booking, and it also shows here, because the timeline gathers every booking.
Open one from a booking
On a booking, Customer shows First booking, or 1 earlier booking, or a count of earlier bookings. The count opens this page. The mobile on both pages is the same number, so a later booking with that mobile joins this customer. Anyone who can log in to the business can open Customers. What owners can change, and what staff can see, is in Staff logins and roles.
Things to check
If a search finds nobody, check the spelling of the name, or type the mobile with or without spaces. Clear search shows the full list again.
If Review requests and follow-ups is not on the page, reminders are not on for the business. The switch appears only then. See Reminders.
If you cannot save the switch, the toast says We couldn't save that. Try again.
After they reply STOP, the page says No SMS: they replied STOP on that day. The follow-ups help also says that replying STOP turns Review requests and follow-ups off. Turning the switch back on does not turn SMS back on. A dot before a name in the list means a reply nobody has read. Opening the customer reads it. Under Timeline, the reply box has SMS and Private note while texts are on. See Your TapBook number and texts.
