TapBook

MechanicDesk

Copy your MechanicDesk online booking link and send it to us, so each booking arrives as a booking request with the customer and their car.

Each new booking goes into MechanicDesk as an online booking request, with the customer and their car, so you never type it in twice. Copy your online booking link from MechanicDesk, send it to us, and we connect it for you.

What it does

TapBook takes the bookings, from Google, your website and your phone, and MechanicDesk keeps running your workshop. You don't change how you work in MechanicDesk.

  • Every booking, quote request, call-back and enquiry goes to your Online Booking Requests in MechanicDesk, including ones the phone assistant takes and ones your team adds.
  • Each request has the customer's name, mobile and email, and their car's rego, make, model, year and odometer from your booking form.
  • A booking has its drop-off time. A quote request, call-back or enquiry has none.
  • Each request names the job type in MechanicDesk with the same name as the service, and any extras, such as Logbook service or Wheel alignment.
  • Everything else the customer told you is in the request's note, with a link back to the booking in TapBook.

You accept each request in MechanicDesk, as you do now. MechanicDesk adds the booking to your diary, and matches the customer and their car or adds them.

Before you start

You need:

  • A MechanicDesk log-in that can open Settings, such as an owner or admin.
  • About two minutes.
  1. Log in to MechanicDesk and open Settings.
  2. Go to Workshop Details, then Online Booking.
  3. Turn on Online Booking if it's off.
  4. Copy your online booking link. It starts with https://www.mechanicdesk.com.au/online-booking/. You can copy the whole iframe code instead: TapBook finds the link in it.

The link is your workshop's own. Anyone with it can send you a booking request, as customers do from your website, so share it only with us.

Send it to us

Email the link to hello@tapbook.au. If you have more than one business on TapBook, tell us which one.

We connect it, then send a test booking with you so you can see it arrive in MechanicDesk.

Check it worked

  1. Make a test booking on your booking page, with a rego, make and model.
  2. Within a minute, MechanicDesk shows it under Diary, Online Booking Requests, with the customer, the car and the drop-off time.
  3. Decline the test request in MechanicDesk, and cancel the test booking in TapBook.

What changes in MechanicDesk

In TapBookIn MechanicDesk
A booking with a timeA booking request with the drop-off time, the customer and the car
A quote request, call-back or enquiryA booking request with no time, and what it is at the top of the note, such as Quote request: Repairs
The booking movesNothing. Move it in MechanicDesk too
The booking is cancelledNothing. Cancel or decline it in MechanicDesk too
Confirmed, quote sent, completed or no-showNothing changes

MechanicDesk doesn't let other apps change a request once it's sent, so a move or cancel in TapBook doesn't reach it. TapBook's log on Settings, MechanicDesk says what to change, with the new time.

A booking cancelled before it went to MechanicDesk never goes.

Troubleshooting

No Online Booking under Workshop Details

Only some MechanicDesk log-ins can change your workshop's settings. Ask an owner or admin of your MechanicDesk to copy the link.

The request has no job type

TapBook names a job type only when MechanicDesk has one with the same name as the service or an extra, and shows it to online bookings. Rename the job type in MechanicDesk to match, or choose it when you accept the request.

Requests stopped arriving

Online Booking was turned off, or the link changed. Turn Online Booking back on, copy the link again, and send it to us. Bookings made in the meantime go across once it's connected again.

Phone assistant bookings

They go to MechanicDesk too. Every booking and request goes the same way, wherever it came from.
