Workshop Software
Copy your Workshop Software public booking link and send it to us, so each booking arrives as a booking request with the customer and their car.
Each new booking goes into Workshop Software as a booking request, with the customer and their car, so you never type it in twice. Copy your public booking link from Workshop Software, send it to us, and we connect it for you.
What it does
TapBook takes the bookings, from Google, your website and your phone, and Workshop Software keeps running your workshop. You don't change how you work in Workshop Software.
- Every booking, quote request, call-back and enquiry goes to Workshop Software as a booking request, including ones the phone assistant takes and ones your team adds.
- Each request has the customer's name, mobile and email, and their car's rego, make, model and year from your booking form.
- A booking is requested for its day, with its time in the note. A quote request, call-back or enquiry is requested for the day it came in.
- Each request goes in as the appointment type with the same name as the service or an extra, such as Logbook Service. The rest go in as the appointment type you choose.
- Everything else the customer told you is in the request's note, with a link back to the booking in TapBook.
You approve each request in Workshop Software, as you do with your own online bookings. Workshop Software puts it in your booking diary, and matches the customer and their car or adds them.
Before you start
You need:
- Public Booking in Workshop Software, which comes with the Gold and Platinum plans.
- Your appointment types set up under CRM Tools, Public Booking.
- About two minutes.
Copy your public booking link
- Log in to Workshop Software.
- Open CRM Tools, then Public Booking.
- Copy the link under Public URL. It starts with https://my.workshopsoftware.com.au/bookings.html#/ and ends with your token.
It's the same link your customers book with, so there's no API key to set up.
Send it to us
Email the link to hello@tapbook.au. In the same email, tell us:
- The appointment type for bookings whose service has no appointment type of the same name, such as Repair.
- Which business, if you have more than one on TapBook.
We connect it, then send a test booking with you so you can see it arrive in Workshop Software.
Check it worked
- Make a test booking on your booking page, with a rego, make and model.
- Within a minute, your Workshop Software Dashboard shows a new booking request. Open it to see the customer, the car and the note.
- Delete the test request in Workshop Software, and cancel the test booking in TapBook.
What changes in Workshop Software
| In TapBook | In Workshop Software |
|---|---|
| A booking with a time | A booking request on its day, with the customer and the car, and the time in the note |
| A quote request, call-back or enquiry | A booking request on the day it came in, and what it is at the top of the note, such as Quote request: Repairs |
| The booking moves | Nothing. Change it in Workshop Software too |
| The booking is cancelled | Nothing. Delete or change it in Workshop Software too |
| Confirmed, quote sent, completed or no-show | Nothing changes |
Workshop Software doesn't let other apps change a request once it's sent, so a move or cancel in TapBook doesn't reach it. TapBook's log on Settings, Workshop Software says what to change, with the new time.
A booking cancelled before it went to Workshop Software never goes.
Troubleshooting
No Public Booking under CRM Tools
Public Booking comes with the Gold and Platinum plans. Upgrade from your Workshop Software Dashboard, or ask your account manager.
Requests go in as the wrong appointment type
TapBook uses the appointment type with the same name as the service, and the one you chose for the rest. Rename the appointment type in Workshop Software to match the service, or change the request when you approve it.
Requests stopped arriving
Your public booking link changed, or Public Booking was turned off. Copy the link again from CRM Tools, Public Booking, and send it to us. Bookings made in the meantime go across once it's connected again.
Phone assistant bookings
They go to Workshop Software too. Every booking and request goes the same way, wherever it came from.
