Google Calendar
Put your TapBook bookings in a Google calendar of their own, and see what was sent to it.
Every booking with a time goes into a calendar of its own in your Google account, and moves or goes when the booking does. The card is on Settings while Google Calendar is on for your business. Only owners can connect it. If Google Calendar is missing, email hello@tapbook.au.
Connect
Open Settings. The card is Google Calendar.
Before it is connected, the card says TapBook makes a calendar called "TapBook:" and your business name in your Google account and keeps it up to date. It can't see or change your other calendars, and customers are never invited, so Google never emails them.
- Choose Connect Google Calendar. Google's own page opens in the same tab.
- Choose the Google account, and tick the permission to make a calendar.
- You come back to this card.
The toast says Google Calendar connected. Your upcoming bookings are on their way. If you cancel on Google's page, it says Google Calendar wasn't connected. If the permission to make a calendar was left unticked, it says to tick that permission and try again. Anything else says We couldn't connect Google Calendar. Try again in a minute.
Connecting again with the same Google account keeps the same calendar. Another account gets a new one. Bookings made before you connect are sent across when you connect. In the log that is Sent when you connected.
If Google Calendar isn't ready on TapBook yet, the card says so, and there is no connect button.
Which calendar
Once connected, the card says Connected to the Google account, with a Connected chip. Bookings go to the "TapBook:" calendar named on the card. Change them in TapBook: changes made in Google don't come back.
If it needs connecting again, the account is shown with a Needs connecting chip, the reason, and: Connect again to carry on. Bookings changed in the meantime go across when you do. The reasons are: Google stopped letting TapBook in, the calendar was deleted in Google, TapBook lost its permission to add events, or it was connected by someone who isn't an owner now.
Connect again opens Google's page, as the first connect does. Disconnect asks Disconnect Google Calendar? Bookings stop going to Google. The calendar and its events stay in your Google account, so delete it there if you don't want it. Keep it closes the question. Disconnect disconnects it. The toast says Google Calendar disconnected.
What gets sent
A booking with a time is added when it arrives, when your team adds one, or when a quote, call-back or enquiry is booked in. A request that is not confirmed yet is sent with Request: before the title, and Not confirmed yet. in the event. Confirming it takes Request: off. Moving it, on the booking or by dragging it on the calendar, moves the event. Cancelling it removes the event, 10 seconds later, so Undo on the booking can stop that. See Confirm, move and complete bookings.
Completing a booking, or marking a no-show, leaves the event as it was. A quote, call-back or enquiry is not sent until it is booked in. Customers are never invited, so Google does not email them about the event.
Retry
Sent to Google is the log of every change TapBook sent, or tried to. With nothing in it, it says: Nothing sent yet. Bookings go across as they're made or changed.
The columns are When, Booking, Change and Status. Booking is the customer's name and opens the booking.
Change is Requested, Booked, Confirmed, Moved, Booked in, Cancelled, Cancel undone, Sent when you connected or Brought up to date.
Status is Waiting, Sending, Sent, Trying again, Not sent, Skipped or Sent with a later change. Trying again and Not sent come first. Under Trying again and Not sent, the line says why, such as Google didn't answer., and Trying again adds Next try and the time.
Skipped is a change that did not go. The line can say Google Calendar was disconnected., Google Calendar needs connecting again., The TapBook calendar was deleted in Google., Google stopped letting TapBook in., or TapBook lost its permission to add events.
Not sent has Retry. Retry sends the booking as it is now, straight away. The toast says Sending it again. Show more loads the next rows.
A push that fails tries again through the day, then shows as Not sent. A broken connection stops every push until an owner chooses Connect again.
Things to check
Google Calendar connected. Your upcoming bookings are on their way. means the calendar is in the account you chose. Google Calendar wasn't connected. means you closed Google's page, or you left the calendar permission unticked. The unticked case adds: Tick the permission to make a calendar, then try again. We couldn't connect Google Calendar. Try again in a minute. means Google or TapBook did not finish the connection.
Sent to Google stays empty until a booking with a time is made or changed. Its empty line is Nothing sent yet. Bookings go across as they're made or changed. A quote request with no time does not appear there until you Book in.
