ServiceM8

Turn each TapBook booking into a ServiceM8 job or quote, kept up to date when the booking moves or is cancelled.

Each new booking becomes a job in ServiceM8, with its client, so you never type it in twice. The card is on Settings while ServiceM8 is on for your business. Only owners can connect it and choose who jobs go to. If ServiceM8 is missing, email hello@tapbook.au.

Connect

Open Settings. The card is ServiceM8.

Before it is connected, the card says TapBook finds each customer in your ServiceM8 clients by email or mobile, or adds them, then adds the job. A booking is a work order at its time. A quote, call-back or enquiry is a quote. When a booking moves or is cancelled, its job follows. Nothing else in ServiceM8 changes.

  1. Choose Connect ServiceM8. ServiceM8's own page opens in the same tab.
  2. Log in and allow TapBook in.
  3. You come back to this card.

The toast says ServiceM8 connected. New bookings go there from now on. If you cancel on ServiceM8's page, it says ServiceM8 wasn't connected. Anything else says We couldn't connect ServiceM8. Try again in a minute.

Bookings made before you connect stay in TapBook. Connecting again keeps the log. Connecting another ServiceM8 account sends new bookings there instead.

Once connected, the card says Connected to the ServiceM8 account's name, with a Connected chip. New bookings become jobs in ServiceM8, and their time and cancel follow the booking. Everything else about a job is yours to change in ServiceM8.

If it needs connecting again, the account is shown with a Needs connecting chip, the reason, and: Connect again to carry on. Bookings made or changed in the meantime go across when you do. Connect again opens ServiceM8's page again.

Disconnect asks Disconnect ServiceM8? New bookings stop going to ServiceM8. The clients and jobs already there stay as they are. Keep it closes the question. Disconnect disconnects it. The toast says ServiceM8 disconnected.

If ServiceM8 isn't ready on TapBook yet, the card says so, and there is no connect button.

Who jobs go to

While it is connected, New jobs go to lists the ServiceM8 account's staff. It saves as soon as you change it. The toast says Saved.

The help says: A booking whose team member has the same name as someone in ServiceM8 goes to them. The rest go to this person.

The list is ServiceM8's staff as they were when you connected, brought up to date with each booking that goes. Someone added in ServiceM8 since shows once a booking has gone, or straight away when you connect again.

If ServiceM8 has no staff to give jobs to, the card says to add someone in ServiceM8, then connect again.

Moves and cancels

A booking or a request that arrives while ServiceM8 is connected, or one your team adds, becomes a work order at its time. A quote, call-back or enquiry becomes a quote, not scheduled. Moving the booking, from the booking page or by dragging it on the calendar, moves the job's schedule. Booking a quote or call-back in turns the job into a work order at that time. Cancelling the booking follows on the job, 10 seconds later, so Undo can stop it. Confirming a booking, sending a quote, completing it, or marking a no-show changes nothing in ServiceM8.

After the first send, TapBook only changes the job's time and status, and its status only while it is still the one TapBook gave it. A job someone has changed in ServiceM8 stays as they left it. A job deleted in ServiceM8 stays deleted.

The log

Sent to ServiceM8 lists every job TapBook sent, or tried to. With nothing in it, it says: Nothing sent yet. New bookings go across as they're made.

The columns are When, Booking, Change and Status. Booking opens the booking. Status is Waiting, Sending, Sent, Trying again, Not sent, Skipped or Sent with a later change. Not sent has Retry, which sends the booking as it is now. The toast says Sending it again. Show more loads the next rows.

Skipped is a job TapBook left alone. The line under the chip is the reason, in these words:

  • ServiceM8 was disconnected.
  • ServiceM8 needs connecting again.
  • The cancel was undone.
  • It was cancelled before it went to ServiceM8.
  • The job was deleted in ServiceM8.
  • The job was changed in ServiceM8, so TapBook left it.

A cancel waits 10 seconds before it is sent, so Undo on the booking can stop it. If you undo in that time, the job never hears of the cancel. A job TapBook has already marked unsuccessful stays that way in ServiceM8 until someone changes it there. TapBook sets a cancelled job to unsuccessful and takes it off the schedule. It does not mark a job completed when you choose Mark complete in TapBook.
